1) I used the Vessel main Search form to search for vessels sold the last two years, the system did not returned back all of them, but only a small fragment.

The Sale status parameter of the main Search form of Vessels refers to the current status of the vessel. If for instance someone is looking for the vessels sold the last two years then he should not use this Search form, since in this case the system will fetch only the vessels that were just sold but not the ones that were sold a few months before, but now for instance are characterised for demolition or for sale. The Sales status characterization has a temporary nature referring to the current status of the vessel. The user should use the commercial history module instead.

2) I am confused with the data toolbar. I used to insert a new communication clicking on the Insert button but now instead it prompts me to insert a new account.

Please note that the toolbar buttons found here below operate on the currently selected data set. For example if we are currently looking at a list of accounts and the Communication tab is selected then, by placing the focus in the Communications grid and pressing Insert we will insert a new communication for the selected account. If, however, the focus lies in the list of accounts, then pressing Insert will insert a new Account.

3) My account was working alright but suddenly when I try to sen'd a message I get back "File cannot be saved"; nevertheless the message is going alright to the recipient.

COMPASSng is using a File system located at the Compass Server in order to save the messages you send. This way it is possible to have your messages available independently of the computer you will logon (by the way you have to logon with your credentials given by your administrator corresponding to your account at the Domain defined at the Compass Server). If for some reason you are not able to write a file to your local server then you will get the message "File cannot be saved". Usual reasons are:
  • You have not logon with the credentials your administrator has given to you but using a local account at the computer you were connected (logon using the proper credentials or contact your administrator)
  • You have exceeded the quotas your administrator has set as an upper limit for the disk space you can use at the Compass Server (contact your administrator)
  • The disk at the Compass Server is full; in this case probably other colleagues will also have a problem (Contact your administrator – Urgent action is required)
In any case please contact your administrator and ask from him to solve the problem.

4) On a hard working day we got the following message "SQL Transaction Logs are Full” or “SQL data files are full".

This problem is related to your SQL server database. Proper configuration, frequent backup and monitoring of the database should have prevented this error. Contact your administrator and ask from him to solve the problem.

5) Our company has a subscription at Lloyds Register Fairplay. Can we incorporate this information in COMPASSng

Yes it is possible to load the Lloyds Register Fairplay information in COMPASSng and update it at regular time intervals according to the subscription of the client.

6) Is it possible to use COMPASSng when I am out of office?

Yes it is possible to use COMPASSng remotely. There are two ways the one reaching your local pc through a VPN and the other using the COMPASSng Web Client.

7) I am working at the Chartering department of my company but I need to see information from the SNP department. However the system is not showing the selections available to my colleagues of the SNP department

Each user has access to different functionality according to his rights assigned by the administrator. If you are entitled to see information relative to SNP please contact your administrator and ask him to assign to you the appropriate rights.

8) We have bought 15 licenses for COMPASSng messaging but the last week we have hired three more persons working evening hours. For the time we do not want to buy additional licenses. Is it possible the new colleagues to be able to use compass the time that other colleagues are not using it.

The number of compass licenses refers to concurrent users. This means that at a specific time totally up to 15 persons can work using compass. You can have as many users as you wish as long as they are not working concurrently.

9) I have to urgently connect to compass in order to send an important message. However the system is not letting me to login; it replies "Number of users exceeded maximum number of licenses".

That means that the number of connected users is equal to the existing licenses. Additional users cannot be connected until one of currently connected users logs of. So please kindly ask from one of your colleagues to log off until you sent the message.

10) I used to work with Outlook. Suddenly my company after a suggestion by a top specialist shifted to COMPASSng. How easy it will be for me to work now with COMPASSng?

COMPASSng is a user friendly program that you will have no problem to use if you are familiar with any emailing program. With time its unique functionality will became a second nature to you and you will wonder how it was possible to do your job without using it!

11) What are the advantages of COMPASSng against Outlook?

  • Very high volumes of daily messages are supported. Older messages can be automatically moved to special archives maximising the performance of the system.
  • Integrated shipping modules with messaging module enable advanced filing and search of shipping data in association with past messages. For example, it is very easy to locate and open a message from which vessel particulars have been received for a specific vessel.
  • Inherent and full integration with Fax, Telex and SMS messages without external add-ons and plug-ins which sometimes create compatibility or performance problems.
  • Advanced management of address book (multi-departmental, private/public) with integrated control of circular (distribution) lists
  • Each user does not need to CC or BCC his colleagues when sending from a departmental (group) mail address
  • Each incoming and outgoing message is assigned a truly unique identifier (message number) which can be used later by the users for easy references to past messages
  • Users are able to search efficiently through large volumes of messages using multiple search criteria.

12) I belong to both SNP and Chartering departments. When I am sending an email I want to be able to select the account I will use in order to submit the email. Is there an easy way to do that?

Yes there is. When you compose an email using the “From” selection field (next to the "subject" field) you can select the account that the email will be submitted from.

13) I used the "From" selection field in order to send a message from another account that I used to. However now I cannot find a number of recipients / circulars that I was able to find before. I changed the account to my usual one and now I am able to find the recipients/circulars I want. What is happening here?

Remember that recipients/circulars are visible to specific departments; for instance each department inserts the recipients they usually cooperate with and they select to be visible only to them. When you change the "From" field then you see the recipients/circulars related to the specific department. If some recipients/circulars are not available to you when you use another "From" account then you have to make them visible to the department you want to send the message from.

14) How can I make a recipient address visible to more departments than it is now?

Select the Address Book, find and select the specific account you want to make visible to more departments, Select visibility, right click on it and select add new record, follow the procedure to select the department you want.

15) In some cases I do not want to send an email right now but instead to schedule it to leave at a specific time. Can I do that using COMPASSng?

Yes you can. Proceed in creating your message as usual. Using the field "Delivery On:" select the date and time that you want your message to be delivered, send the email. The email will be submitted the date and time you have selected on "Delivery On".

16) I have scheduled some emails to be delivered at about an hour, but I found out an error in the message. Is it possible to cancel its submission?

As long as a message have not been submitted it is possible to cancel its submission. Go to Messages -> Pending Mail, select Pending Mail, view the messages waiting for submission and delete the one(s) you want.

17) Depending on the recipient, I want to be able to change my signature; how I can do that in an easy way?

From the main menu select Utilities - > Signatures. While there, use the familiar actions in order to add as many different signatures as you want. Then when you are composing a message and want to change the default signature press “F8” and select the signature you want.

19) When I review vessels for SNP Inquiries I would like to be able to view pictures of the vessels. Is it possible?

It is possible to add pictures vessels in the Vessels -> Main -> Attachments Fields. Selecting a record in the attachments field you can see a preview of the picture in the right pane of the "attachments" tabbed pane.

20) How can I search for vessels that are similar to a specific one that I believe it fulfils an SNP Inquiry but it is not for sale?

Select the specific vessel and then go to Main -> Sister Vessels; fill in the parameters determining the similarity degree and press "Locate". The system will return back all available vessels within the criteria you identified.

21) In case of an SNP inquiry how exactly does the automatic advices mechanism work?

Whenever a new message arrives related to a vessel the responsible personnel can create an advice. In order to do that, the user has to select the message and either press F9 or right click and then SNP Advising. Afterwards he can paste the part of the message he consider useful, relate the advice to a specific vessel and create the advice. When another user registers an SNP inquire then from the Description -> Automatic advices pane he can select automatic advices to be sent to a specific account. In order to do that he had to check the Include field and fill the information in the rest of the fields. The automatic matching mechanism whenever a new advice is created compares the data of the vessel with the ones of the SNP inquire and if they match then sends an automatic advice to the selected account and adds the advice to the Sent by "Automatic Advising tabbed pane" of the corresponding SNP inquire.
